Naviteer Connection Details

 

The Naviteer connection to QBO is defined in the company setup.

 

A tab under Table Setup Panel > Company > QB has to be filled in.

 

 

 

The Client ID and Secret will be supplied by Naviteer. 

 

The login ID and Password are optional.  This may not be something that should be available to others in the company. 

 

The Commission Invoice Defaults are obtained via the QB >> Connect, Query and Test tool after connection to QBO is complete.

Connect to QBO

 

This menu selection opens the connection screen.  You can login to QuickBooks before posting or during the posting process.

 

Press Connect button to start the process.

 

 

A link to a QBO login will open in a browser.  Fill in your credentials for QBO login.

 

 

After the login is complete you will see the  screen which means access has been achieved. 

When complete, the Status will change to

 

 

At this point, the rest of the setup can be completed.

 

Connect, Query and Test

 

This area gives access to QBO IDs that need to be used to link information in Naviteer tables to QBO.

 

 

 

Commission Invoice Defaults

 

 

Commission Income Account ID

 

To retrieve General Ledger Account IDs, click the G/L Accounts tab and the Download All button:

 

 

First, verify that the Sales Commission income account exists in QBO.

 

 

If you are testing with a test QBO production account, a basic chart of accounts is created for you and there will be a Sales Income account. 

You can simply use this if you do not want to create a new account.

 

 

 

Enter the ID in the Company QBO setup.

 

 

Commission Item ID

 

Here is a link to the products in QBO.  QB invoices require at least one line item. 

This is where the entire customer order’s principal sales commission is specified.  The QBO ID is required:

 

 

Enter the ID in the Company QBO setup.

 

 

Payment Terms

 

Go to Payment Terms tab and download all QBO terms.

 

If the Naviteer database is brand new and the user has not started using the system, all of the QBO terms can be imported into the Naviteer terms table.   If the Naviteer terms are already defined, they can be linked to the matching QBO terms record.  The user’s term names may or may not match between Naviteer and QBO, thus requiring the link. 

 

The broker’s commission payment terms are really the only terms that require the QBO link at this time.

 

The Principal Customer terms are used if specified else the terms specified in the Company >> QBO setup are used.

 

Using the QBO query tool, select the Payment Terms and the Download All w/Optional Add to Naviteer button:

 

 

 

The terms are downloaded and displayed in the list and you are given these options:

 

 

If Naviteer is starting with no terms (delete the startup data terms first), select Add to add the terms to the Naviteer terms table which also includes the corresponding QBO Term ID #.

 

Select Build to add the terms to the Naviteer QBO Terms table (QBOTerms).  You can then link to the Naviteer terms by:

 

 

 

Select one of the terms to add to the default setup.  This term will need to correspond to the Naviteer term that matches.

 

 

 The company QuickBooks setup should now be complete.  This only has to be done once to link to an existing QBO account.

 

 

 

QBO Customer to Naviteer Principal link.

 

The customers in QBO are the Principal Customers in Naviteer.

 

 

The next screen shows the customers that were pulled from QBO.  The ID column is used to link the customer to the Naviteer Principal.

 

 

The first customer in the QBO data is Big Meat Company.  The ID is entered in the Principal Customer record as shown below.  This needs to be done for all QBO customers.

 

 

Link each of the QBO customer to the Principal Customer.

 

Add Principal Customers to QBO

 

There is a new Add Principal Customers to QBO option.  This will create customers in the QBO customers table for all Active principal customers that are not linked to a QBO customer AND will update the QBO ID field.

 

There are a couple of Naviteer QBO options (Alt-F11 – Extended System Options) for managing principal customers:

 

 

It is generally recommended that the first option be checked.  When checked, when the commission invoice posting function is run, it will check all principal customers instantly and if any are missing the QBO ID, an error message will be displayed and the posting will not occur:

 

 

 

If this option is turned off then Principal Customers that do not exist at the time of commission invoice posting, can be added automatically to QBO and linked to the Naviteer Principal Customer if the second option is checked:
